GDPR Compliance Statement
ICMC Europe – Intercontinental Music Competition for Youth (European Stage)
This GDPR Compliance Statement explains how Art VIDI – Artistische Vereinigung zur Integration Diverser Identitäten ("Art VIDI," "the Organizer," "we," "us") processes personal data in connection with the Intercontinental Music Competition for Youth – European Stage ("the Competition") in accordance with the General Data Protection Regulation (EU) 2016/679 ("GDPR") and the Austrian Data Protection Act (Datenschutzgesetz, "DSG").
Data Controller
The data controller responsible for the processing of personal data described in this statement is Art VIDI – Artistische Vereinigung zur Integration Diverser Identitäten, ZVR 1842523698, based in Vienna, Austria. Any questions regarding the processing of personal data in connection with the Competition can be directed to info@icmceurope.com.
What Personal Data We Process
In connection with the organization of the Competition, we process personal data of participants, legal guardians of minor participants, jury members, and website visitors. This includes registration details such as full name, date of birth, country of residence, and contact information; performance video recordings submitted for evaluation; a unique Competitor Participant ID (CP ID) assigned to each participant; jury members' professional biographies and contact details; and basic technical data collected through the website, such as IP addresses and cookies.
We do not collect or store payment card details or financial transaction data ourselves. All payment information in connection with entry fees is collected and processed exclusively by our payment provider, Stripe, as described below. We only collect personal data that is necessary for organizing and running the Competition, evaluating submissions, and communicating with participants and guardians.
Legal Basis for Processing
We process personal data on the following legal grounds: the performance of the contract formed when a participant registers for the Competition or a jury member agrees to participate as a judge; compliance with legal obligations, such as Austrian tax and accounting requirements; our legitimate interest in ensuring fair and objective judging and in publicizing the jury panel; and, where required, the explicit consent of the data subject or their legal guardian.
Where a participant is under the age of 14, which is the age of consent for information-society services under Austrian law, registration and the submission of personal data, including performance videos, require the explicit consent of a parent or legal guardian. For participants between 14 and 18 years old, we request confirmation from a parent or legal guardian as a condition of participation in the Competition.
Anonymous Judging Process
To ensure fairness and objectivity, the Competition uses a dedicated jury platform. Jury members only have access to a participant's performance video and their Competitor Participant ID (CP ID). Jury members do not have access to a participant's name, date of birth, or country during the evaluation process. Only a limited number of authorized administrative staff members are able to match a CP ID to a participant's personal data.
Payment Processing Through Stripe
All entry fee payments in connection with the Competition are processed through Stripe, an independent payment service provider. When you make a payment, your payment details, including card information and billing data, are collected and processed directly by Stripe in accordance with Stripe's own privacy policy and security standards. Art VIDI does not access, collect, or store your payment card details or transaction data on its own systems. Any questions or concerns regarding the processing of payment information should be directed to Stripe.
Data Retention
Personal data relating to participants, including registration data, performance videos, and CP ID records, is retained for three years from the end of the relevant Competition season. For participants of the current season, this retention period runs from the last day of the final Gala Concert.
At the end of this three-year period, retention is automatically extended for as long as the participant does not request deletion of their personal data. A participant or their legal guardian may request erasure of the participant's personal data at any time, including after the three-year period has elapsed, by contacting us as described under "Your Rights" below. Upon receiving such a request, we will delete the relevant personal data within the timeframe indicated in that section, subject to any overriding legal obligation requiring continued retention.
Recipients of Personal Data
Personal data relating to participants is processed by our hosting provider, Hostinger, on servers located in Germany, within the European Union. We do not sell, rent, or share personal data with third parties for marketing purposes. Personal data may be shared with performance venues or partner organizations solely to the extent necessary for organizing the final stage of the Competition, and only with the participant's consent.
International Data Transfers
All personal data collected through the Competition website and registration process is stored on servers located in Germany, within the European Union, and is not transferred outside the European Economic Area. Payment data is handled exclusively by Stripe under Stripe's own data transfer arrangements, which are independent of Art VIDI's data processing described in this statement.
Data Security
We apply appropriate technical and organizational measures to protect personal data, including encrypted data transmission, role-based access controls, and pseudonymization of participant data during the judging process through the CP ID system. Access to personal data is limited to authorized personnel who require it to perform their duties in connection with the Competition.
Your Rights
Under the GDPR, you have the right to access the personal data we hold about you, request correction of inaccurate data, request erasure of your data, request restriction of processing, receive your data in a portable format, and object to processing based on our legitimate interest. You may also withdraw consent at any time without affecting the lawfulness of processing carried out before the withdrawal.

You also have the right to lodge a complaint with the Austrian Data Protection Authority (Datenschutzbehörde), if you believe that our processing of your personal data infringes the GDPR.
Video Submissions and Intellectual Property
By submitting a performance video to the Competition, a participant or their legal guardian grants the Organizer the right to use the recording for the purpose of jury evaluation and the publication of Competition results. Any use of a submitted video in promotional materials requires separate, explicit consent, indicated on the registration form.
Participants and their legal guardians confirm that they hold all necessary rights to the performed work and the submitted recording, and are solely responsible for ensuring that the submission does not infringe the copyright or other rights of any third party.
Data Breach Notification
In the event of a personal data breach that poses a risk to the rights and freedoms of data subjects, we will notify the Austrian Data Protection Authority within 72 hours of becoming aware of the breach, and will inform affected individuals without undue delay where the breach is likely to result in a high risk to their rights and freedoms.
Changes to This Statement
We may update this GDPR Compliance Statement from time to time to reflect changes in our data processing practices or legal requirements. The current version is always available on this page. Material changes will be communicated to registered participants by email in advance of taking effect.
